EJ’s secret Domo sauce: Approvals

EJ utilizes Approval Areas for its internal Domo Request system. Prior to implementing this option, there were issues with the organization and transparency of incoming Domo requests. Requests were submitted from various areas such as buzz, email, messaging, phone and other internal systems.

Duplication of work could occur when requests were sent to multiple users. Due to security limitations encountered while using Domo’s Projects and Tasks area, there was no way to organize requests and provide transparency to stakeholders. When authorization kicked off in our instance, we saw this as an opportunity to focus requests in one place for her.

Approval is designed for approval workflow. However, with a customizable template, it has worked well to translate into a customized request system where her licensed Domo users can enter request approvals.

In our instance, 5 approval templates were created to correspond to the main request types received. An additional sixth option, “General Domo Requests”, can be used for requests that do not fall into any of the other categories.

Each template is customized to contain topic-specific questions. For example, Request for New User contains mandatory fields for name, email, and security/access needs. Also, ‘New/Changed Requests’ can be directly linked to a Page or Card. These templates require the necessary information up front, reducing back-and-forth attempts to obtain incomplete information for the request.

By default, approvals are sent to the administrators group for review. Once in the administration queue, the request is reviewed and assigned to individual administrators or power users responsible for completing the request. Reassignment allows users to know who is handling their requests. Once the request is completed, it is approved and a notification is automatically sent to the original requester.

The solution provided by the centralized request system solved the previous problem and brought many additional benefits. The comment area in each request is used to organize conversations and @mention content directly within Domo.

Users can add observers or approvers to individual requests, increasing team transparency. This system solves the problem of requests sent through various systems, allowing better organization and prioritization.

Another advantage is that the approval system itself can create a DataFlow. This allows you to generate dashboards that track the flow of your approval process.

Ultimately, using approvals for our internal Domo request system has improved the user experience by allowing requests to be efficiently organized and processed quickly.
